Privacy Policy

1. Overview

AIVIONT operates an AI-powered CRM and sales operations platform for life insurance agents at app.aiviont.com. This Privacy Policy explains how we collect, use, and protect information about agents who use the platform and their clients and prospects whose data is managed within it.

2. Information We Collect

From platform users (agents): name, email address, phone number, profile photo, National Producer Number (NPN), licensed states, billing information (processed by Stripe), calendar and Zoom OAuth tokens, and usage data.

From contacts and prospects: name, phone number, email address, date of birth, mailing address, insurance product interest, pipeline stage, policy information, SMS and email communication history, appointment scheduling data, and SMS consent status.

3. How We Use Your Information

We use the information we collect to:

  • Deliver CRM, messaging, booking, and AI-assistant features to agents
  • Send appointment confirmations and reminders to prospects on behalf of agents
  • Send SMS and email messages that agents compose or automate (only to contacts who have given explicit SMS consent)
  • Process subscription payments via Stripe
  • Generate AI-powered insights using Anthropic Claude
  • Detect and prevent fraud and security incidents
  • Comply with legal obligations

4. SMS Messaging

AIVIONT facilitates SMS messages sent by insurance agents to their contacts. These messages may include appointment reminders, follow-up outreach, policy updates, and other insurance-related communications.

  • SMS messages are only sent to contacts who have provided explicit consent
  • Contacts may opt out at any time by replying STOP to any message. Upon receipt of STOP, we immediately cease all SMS communication and record the opt-out
  • Reply HELP to any message for support contact information
  • Message and data rates may apply

We do not sell, share, or use contact phone numbers for any purpose other than delivering agent-initiated communications described above.

5. Information Sharing

We do not sell personal information. We share data only with service providers necessary to operate the platform, including:

  • Supabase (database)
  • Twilio (SMS)
  • Amazon Web Services SES (email)
  • Stripe (payments)
  • Anthropic (AI)
  • Cloudflare R2 (file storage)
  • Zoom (video meetings)
  • Google and Microsoft (calendar sync)

Each provider receives only the data needed for their specific function.

We may also disclose information when required by law, court order, or to protect the safety, rights, or property of AIVIONT, our users, or the public.

6. Data Retention

Agent account data is retained for the duration of the subscription and for 90 days after cancellation, after which it is permanently deleted. Contact and messaging data is retained as long as the agent account is active. Agents may delete contacts or their entire account at any time via the dashboard.

7. Security

All data is transmitted over HTTPS/TLS. Personally identifiable information is stored in encrypted PostgreSQL databases hosted on Supabase. We enforce row-level security policies to ensure agents can only access their own data.

8. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access, correct, or delete your personal information
  • Object to or restrict certain processing
  • Request data portability
  • Withdraw consent (including SMS consent by replying STOP)

9. Children’s Privacy

AIVIONT is not directed to individuals under the age of 18. We do not knowingly collect personal information from minors.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email or in-app notice. Continued use of the platform after the effective date constitutes acceptance of the updated policy.
